Officer Responsibilities
CHAIRPERSON
-
Presides at scheduled SCAVC meetings
-
Designates a “hospitality host” for the year (responsible for providing refreshments and supplies at meetings and events)
-
Serves as a representative to the community at large
- Schedules officers’ meetings as necessary:
1)Beginning of Year – set goals, get acquainted, review bylaws
2)Mid Year – reevaluate goals, budget, and select future slate of officers for membership approval at the May meeting
3) End of Year – closure of records, year end evaluations, etc.

Arranges for meeting place for monthly meetings, on an annual basis and as needed

Sends a written thank you note to the hosting agency at the end of the year

Is the contact person for SCAVC with all other volunteer organizations

Appoints committees as needed

Appoints a replacement to fill a non-expired term
-
Responsible for creating the meeting agenda
-
Sends thank you notes to agency/employer of officers who served
-
Ensure annual corporation registration is filed by Treasurer, each year no later than December 31
-
Appoints SCAVC member to serve as a liaison for appropriate community positions/committees.
VICE CHAIRPERSON
- Presides at meetings in absensce of Chairperson
- Chairs the coordination committee for National Volunteer Week and reports development to members (it is suggested to have a least 1 member from the previous years committee and representatives from the United Way's Volunteer Connection and RSVP as part of the committee)
SECRETARY

Records minutes of meetings (including executive committee meetings) and provides copies to members within two weeks of the next scheduled meeting

Carries on any correspondence so designated by the Chairperson

Keeps an attendance record

Has a spare key to the SCAVC PO Box at the St. Cloud Post Office
-
Maintains a current email listing of members
-
Maintains an electronic copy of all forms and documents for SCAVC
-
Requests office supplies (i.e. stamps, envelopes, paper) as needed from the treasurer, for the duplication and mailing of minutes to SCAVC members
TREASURER
-
Presents financial reports at each scheduled meeting including income from paid members, amounts collected, expenses and account balance
-
Provide an electronic copy of monthly budget report to Chair and Secretary, to include with minutes
-
Presents a proposed budget to executive committee by August 1st for feedback and adjustments and to all members at the August meeting
-
Deposits membership dues and other income into the SCAVC bank account
-
Purchases office and meeting supplies for the meetings
-
Has a key to the SCAVC PO Box and picks up mail at the St. Cloud Post Office
-
Passes on mail to the Chairperson
-
Maintains specific financial records of receipts and disbursements and balances financial records with bank statements monthly
-
Pays all bills of the organization as approved by the Chairperson and/or membership
-
At the end of the fiscal year, outgoing Treasurer and incoming Treasurer will change the name on the SCAVC bank account
-
Files annual Corporation Registration each year no later than December 31st

Files W-9 forms as requested
PROGRAM COORDINATOR
-
Chairs a committee (appointed during the planning meeting) to plan programs for the scheduled meetings each month
-
Keeps a schedule of volunteer professional highlights which focus on position, skills, and ways of working with other members and makes follow-up calls to presenters of the highlights segments

Solicits evaluation from membership regarding programs
-
Makes a reminder call to presenter before presentations and sends program presenters a thank you
MEMBERSHIP COORDINATOR
-
Recruits members and follows up with them once they have joined SCAVC
-
Follows policy on how long individuals will receive mailings from SCAVC without paying dues (October 31)
-
Make nameplates for each member – collects - and brings them to each meeting
-
Maintain an up to date membership list – located on the SCAVC website (www.scavc.org)

Provide a verbal report on new members and new organizations at each meeting
-
Inquire on status of inactive members/organizations
PUBLIC RELATIONS COORDINATOR
-
Keeps track of WJON Spotlight and sends names to WJON on a regular basis
-
Plans public relations activities to building more community awareness of SCAVC
-
Responsible for media coverage as needed
-
Supports public relations efforts of other committees
-
Coordinates SCAVC website
-
Updates SCAVC information in/on other/external publications
